Tips for Setting Page Layouts in Microsoft Word for Professional Documents

Adding a Page Separator

Page separators are an important feature in Microsoft Word that allows you to split pages manually. This feature is especially useful when creating documents with new chapters or sections, as it makes it easy to control where the page ends and the new page begins, without the need to press the “Enter” button many times. The use of page breaks helps keep the document format neat and professional.

Steps:

  1. Go to the Layout tab in the top toolbar.
  2. Click Breaks, and a list of options will appear.
  3. Select Page to add a page separator in your cursor location.
  4. Alternatively, you can use the Ctrl +  Enter key combination to quickly add page breaks.

Adding Page Numbers

Numbering the pages of a document is helpful in navigation and gives a professional impression, especially for long documents such as reports, papers, or books. With page numbers, readers can easily find and refer to specific pages.

Steps:

  1. Go to the Insert tab at the top.
  2. Click Page Number, and then a list of options will appear.
  3. Select the desired page number place:
    1. Top of Page: To place the number on top (header).
    1. Bottom of Page: To place the number at the bottom (footer).
    1. Page Margins: To place numbers on the margins of the page.
    1. Current Position: To place the number at the current cursor location.
  4. After selecting a place, select the desired page number style, and the page number will appear automatically in the document.

Setting a Watermark on a Document

A watermark is a sign placed behind the text in a document, providing additional identification or information such as “Confidential”, “Draf”, or the company’s logo. The use of watermarks helps to visually mark documents without disturbing the main content. This feature is especially useful for internal or sensitive documents.

Steps:

  1. Go to the Design tab at the top of the toolbar.
  2. Click Watermark, and a watermark option will appear.
  3. Select the desired watermark, such as Confidential, Draf, or any other watermark available.
  4. If you want to create a custom watermark, click Custom Watermark. You can choose between a Picture Watermark (to add an image) or a Text Watermark (to add custom text).
  5. After selecting, the watermark will appear in the background of your document.
